HR Administrator

Job Description

To provide first class administrative HR support to managers and employees. To provide accurate and detailed monthly HR reporting to the Executive and management teams.

Key Responsibilities

HR Database
  • Primary System Administrator for the HR Database (iVantage)
  • Extract monthly employee data for management reporting
  • Establish and input appropriate exchange rates
  • Re-format reports and run pivot tables to provide appropriate monthly summaries
  • Input new joiners, leavers, changes and contractors
  • Manage approvals and monthly reporting process for internal transfers
  • Produce and update organisation charts
Monthly HR reporting
  • Consolidate HR database
  • Produce HR Dashboard in line with reporting deadlines (managing the associated input, feedback and output)
  • Produce Executive dashboard in line with reporting deadlines (managing the associated input, feedback and output)
  • Recruitment - managing paperwork and allocation of approved headcount requisitions and associated monthly reporting
  • Consolidating recruitment costs
  • Monthly reporting on joiners, leavers and changes
  • Providing relevant Management information and analysis to the business on monthly basis
Annual Salary Review and bonus process
  • Extract history data and coordinate proposals from Managers for HR Director review and approval
Recruitment
  • Log CVs, Track application progress, Schedule interviews
  • Provide candidate feedback through reject letters and liaison with agencies
  • Administer recruitment tests
  • Provide weekly stats by position:
    • CVs received; 1st Interviews; 2nd Interviews; Offers
    • Produce recruitment analytics by position
    • Manage the SLA for recruitment activity – e.g ensuring feedback received within 48 hours of interviews
  • Deal with all speculative agency calls
  • Qualify applicants’ work eligibility
Joiners, leavers and changes
  • Maintain employee information in HR database for all local employees
  • Administer employee pre-screening process
  • Administer New starter checklist - ensure equipment ordered and arrived in time for start date
  • Schedule relevant induction program
  • Schedule monthly checkpoints and follow up meetings for line manager
  • Schedule EOP (End Of Probation) meeting with line manager
  • Draft EOP Confirmation of Employment letter
  • Leavers coordinate termination process and exit interviews
HR Generalist
  • Employee benefits – Manage registration process for all employees
  • Log and track employee sickness & holidays
  • Maintain employee files (electronic & paper)
  • Ensure employee information is archived or destroyed in line with Data Protection policy
  • Maintain continued employment screening
  • Administration of immigration and tax documentation for geographically mobile employees
  • Sickness tracking
  • Vacation monitoring
Payroll
  • Administer all payroll related employee letters
  • Assist Payroll Manager with administration of annual benefits reporting where required.

Required Skills & Experience

  • Excellent Excel skills and strong practical application of the Microsoft Office Suite
  • Proven track record as an excellent HR administrator preferably with HR systems responsibility
  • Experience liaising with Managers and providing management information
  • Analysis and interpretation of HR data
  • Ability to work under pressure and multi-task
  • Excellent organisational skills with the ability to prioritise and plan ahead
  • Ability to think things through and work to deadlines
  • Strong attention to detail
  • Understanding of escalation procedures within HR
  • Fluent English required and other European languages beneficial
  • Experience of operating in a global HR environment would be advantageous
